By submitting information through the Form, you acknowledge that your data and submitted materials may be processed for the purpose of artistic evaluation, collaboration review, and potential contractual negotiation.

3. How We Use Your Information

Your information is used exclusively for internal purposes directly related to your submission. We do not use your data for advertising, marketing, profiling unrelated to your submission, or automated decision-making processes without human review.

Specifically, your data may be used for the following purposes:

  2. Determination of collaboration or signing eligibility;
  3. Communication with you regarding the status and outcome of your submission;
  4. Preparation and review of potential agreements or contractual instruments;

  6. Compliance with applicable legal and regulatory obligations.

4. Rights and License to Submitted Materials

By submitting audio recordings, lyrics, compositions, or any related creative materials (collectively, "Submitted Materials") through the Form, you represent and warrant that you are the sole and rightful owner of all Submitted Materials, or that you have obtained all necessary rights, licenses, permissions, and consents required for such submission.

4.1 Evaluation License

You hereby grant VaseBit Music Org. a non-exclusive, worldwide, royalty-free, revocable license to:

  1. Store, reproduce, and retain Submitted Materials on our internal systems;
  2. Play, listen to, and evaluate Submitted Materials internally;
  3. Share Submitted Materials with authorized personnel, including but not limited to A&R representatives, legal counsel, and administrative staff, on a need-to-know basis;
  4. Use excerpts or portions of Submitted Materials internally for the purpose of preparing evaluation reports and internal assessments.

4.2 No Commercial Exploitation

We shall not monetize, publish, distribute, publicly perform, broadcast, or otherwise exploit your Submitted Materials for any commercial purpose without first entering into a separate written agreement with you. Nothing in this Privacy Policy shall be construed as transferring any ownership rights in the Submitted Materials from you to VaseBit Music Org.

5. Data Sharing and Disclosure

We do not sell, rent, trade, or otherwise disclose your personal data to third parties for monetary or other valuable consideration.

Your information may be accessed and shared internally on a need-to-know basis solely with the following categories of personnel directly involved in the review process:

  1. A&R team members responsible for artistic evaluation;
  2. Legal and contracts personnel responsible for agreement review;
  3. Administrative staff responsible for record keeping and operational support.

External disclosure of your information shall occur only when required by applicable law, regulation, legal process, or enforceable governmental request. In such cases, we shall disclose only the minimum extent of information necessary to comply with the applicable legal obligation.

6. Data Retention

We retain submitted information for the duration necessary to carry out the evaluation process, facilitate collaboration discussions, and maintain active or pending contractual relationships.

In the event that no collaboration is established, your data may nonetheless be retained for a reasonable period for archival and internal reference purposes, unless a formal deletion request is received. You may submit a request for deletion of your data at any time, subject to:

  1. Any applicable legal or regulatory retention obligations to which we are subject;
  2. Any ongoing or pending contractual relationship between you and VaseBit Music Org.

We implement and maintain reasonable technical, administrative, and physical safeguards designed to protect your personal data against unauthorized access, alteration, disclosure, or destruction.
